Winter Emergency Calls: How Plumbers and HVAC Companies Can Answer Every One
Updated October 23, 2026. Cold snaps bring no-heat, frozen-pipe and burst-pipe calls at night and on weekends, often when your techs are already out. Before winter starts, decide who answers after hours, what they ask, and which calls wake up your on-call tech. Prices below are copied from each vendor's pricing page on the date shown.
We have not call-tested these tools. Prices are copied from each vendor's pricing page on the date shown and can change; confirm before buying.
Three ways to cover winter after-hours calls
- AI receptionist: answers every call at once, even several at the same time, and can text or transfer emergencies. Flat or usage-based pricing.
- Human answering service: handles unusual or upset callers well, but bills by the minute, so a busy cold snap raises the bill.
- Hybrid: AI answers first, a human or your on-call tech takes true emergencies.
What to set up before the first freeze
- Write your emergency rule (for example: no heat with a vulnerable person at home, or water actively leaking).
- Decide your after-hours fee and response window, and have the receptionist read them word for word.
- Give it your intake order. Use our free winter emergency-call script.
- Test-call your own line at night before you rely on it.
The intake script
- Greeting: "Thanks for calling [Company]. Are you calling about an emergency, like no heat, a frozen or burst pipe, or water leaking right now?"
- Safety first: if the caller smells gas or sees smoke or sparks, tell them to leave the building and call 911 or their gas utility from outside. Don't continue the intake.
- Name and callback number: "What's your name and the best number to reach you if we get cut off?"
- Service address: full street address, unit, gate or access notes.
- What's happening: no heat / no hot water / frozen pipe (no water at a tap) / burst or leaking pipe / other. When did it start?
- Water leaking? "Is water actively leaking? Do you know where your main water shut-off is?" (Only give shut-off directions you have pre-approved.)
- Heat out? "What kind of system is it: furnace, boiler, heat pump? Is the thermostat on and set to heat?"
- Who's at home: "Is anyone in the home elderly, an infant, or someone with medical needs?" Flag these for priority.
- Customer status: existing customer or service-plan member? (Route members per your plan rules.)
- Set expectations: read your own after-hours fee and response window, word for word, and get a yes before dispatching.
- Dispatch or book: true emergency: warm-transfer or text your on-call tech with the summary. Otherwise: book the first morning slot.
- Close: repeat back the address and callback number, and tell them when to expect a call.

FAQ
What counts as an emergency call in winter?
That's your rule to set. Many plumbing and HVAC companies treat no heat with a vulnerable person at home, and actively leaking water, as emergencies, and book everything else for the morning. Write it down so your answering service or AI follows it the same way every time.
Is an AI receptionist or a human answering service cheaper for winter overflow?
On published list prices, AI plans start lower: e.g. Upfirst $24.95/mo and Rosie $49/mo vs Ruby 50 min $250/mo (vendor pages checked 2026-10-13, 2026-10-13 and 2026-10-16). Check overage rates, since cold snaps raise call volume.
Is there a free script I can use?
Yes: our printable winter emergency-call script covers safety, address, what's happening, who's at home, fees and dispatch.
